Position Summary

The Meeting Services Manager is responsible for servicing of convention groups utilizing between 10 to 1349 rooms on peak that have selected Washington, DC as a future destination.

Essential Duties and Responsibilities (include the following, but are not limited to)

  1. 1. Contact meeting planners with definite meetings with the intention to assist in planning and promote to Destination DC services.
  2. Maintain a thorough knowledge of services provided by Destination DC including staffing, housing, promotional material, media, member vendors and suppliers.
  3. Coordinate and execute site inspections for definite meetings including visits to hotels and venues.
  4. Maintain professional appearance and persona while entertaining clients.
  5. Establish personal system for tracking of distribution of client (services leads/referrals) requests to subscribers in membership database and convention sales database.
  6. Maintain a thorough working knowledge of off-site venues in the area and offer recommendations to meeting planners for their events.
  7. Attend monthly Sales and Services meetings and the monthly Convention Services staff meeting.
  8. Coordinate monthly Services meetings (rotation).
  9. Accompany Director of Convention Services to meetings with DDC members/partners.
  10. As required, handle telephone service inquiries from clients.
  11. Prepare special reports and forms and distribute as appropriate.
  12. Maintain servicing activities through notes to file/action in DDC Simpleview CRM.
  13. Verify room blocks for definite groups.
  14. Collect final pickup and attendance information from past meetings/conventions.
  15. Attend your clients' pre-convention and post-convention meetings.
  16. Visit your clients at their meeting location to ensure that everything is running smoothly during their convention. This means occasional weekends based on the convention/meeting schedule.
  17. Ability to travel two-six times a year to promote DC at customers' prior year conference.
  18. Other duties as assigned by the Director of Convention Services.

Experience, Competencies & Education

1. Minimum 3-4 years meeting or event planning experience.

2. Bachelor's Degree (B.S. /B.A.) from four-year college or university preferred but not required.

3. Participative management style and direct supervisory experience.

4. Excellent communication skills.

5. Superior organizational skills and attention to detail

6. Willingness to work evenings and weekends.

7. Extensive knowledge of and enthusiasm for Washington, DC facilities and amenities.

8. Technical proficiency with Microsoft Office and destination management software systems required.
