Position Summary

Destination DC's Creative Project Manager is a strategic leader on a fast-paced marketing and communications team of 20 talented, passionate marketers dedicated to supporting and positioning Washington, DC as a premier global destination. This position is directly responsible for day-to-day execution of creative projects from conception to delivery, managing each stage of the production process'providing project estimates, developing comprehensive timelines, briefing and overseeing copywriters and designers, facilitating the editing process, and ensuring final transmit on-time and on-budget.

The production team is comprised of approximately 13 members of the larger marketing and communications team, including multiple copywriters and graphic designers, members of the content marketing team (social media, web content), creative director, director of communications and Senior VP of marketing and communications. This team serves the creative needs of Destination DC, as a whole, and our primary "clients" are our colleagues in the convention sales and services, partnerships and alliances, and tourism departments.

We are looking for a project manager whose skillset blends the traditional role of project manager with the client-facing mentality of an account manager. While meticulously organized, efficient and deadline-centric, this person understands the fluid nature of creative work. Fast turn-arounds and differing priorities demand a project manager with emotional intelligence'a person who understands when it's time to plan a client check-in, schedule a creative brainstorm, or ask for an extension on a deadline simply by the tension in the room. A natural people-person with a service-oriented attitude, this project manager is positive, empathetic, flexible, calm and strategic, and uses these skills to build strong relationships with key stakeholders, internally and externally, and anticipate the needs of the production team.

Our hope is to find an experienced project manager with proven expertise in project strategy and working knowledge of production best practices, who will confidently audit our current processes and present a course of action that will move us from a functional in-house production team to a powerhouse internal agency.


Essential Duties and Responsibilities (include the following, but are not limited to):

  1.  Manage daily workflow for the production team, learning and adapting to various personalities, working styles and needs;
  2. Establish detailed timelines and production schedules for each project, ensuring that important dates are communicated clearly and adhered to by clients, the production team and external vendors;
  3. Carefully vet each creative brief/job request and meet with clients, as necessary, to ensure all relevant information'goals, deliverables, specs, due dates, etc.'is captured prior to assigning tasks to the production team;
  4. Serve as liaison between clients and the production team, spearheading tough conversations about budget, timelines, and direction with confidence and professionalism, ensuring clear lines of communication and fostering a collaborative environment;
  5. Promptly follow up with clients regarding production questions and concerns with a "let's solve the problem" attitude;
  6. Clearly and proactively communicate project status to clients through weekly meetings, recapping any feedback, decisions or next steps to both the client and the production team;
  7. Consolidate feedback on creative projects from all relevant stakeholders and share with production team, confirming that projects are meeting client expectations at every touch-point;
  8. Provide oversight and quality assurance, confirming that the creative brief has been followed and/or all feedback has been executed prior to sending iteration to client;
  9. Ensure proper project close-out, including archiving of files for easy access;
  10. Build strong relationships with print/production vendors, ensuring quality standards are maintained and delivery timelines are met;
  11. Work hand-in-hand with the marketing specialist and creative coordinator, whose job functions include print/digital advertising project management and photo/video project management, to ensure all projects are running smoothly and processes are fine-tuned;
  12. Audit and identify process improvements, proactively presenting suggestions for increased efficiencies in regard to briefing, workflow, communications and software platforms;
  13. Track hours and other relevant project data for reporting purposes;
  14. Other projects and duties as assigned by Creative Director.

 Large-scale annual print publications (ongoing production throughout the year):

    1. DC Update newsletter (five issues annually)
    2. Official Washington, DC Visitors Guide (bi-annual)
    3. International and Domestic Visitor Maps (annual)
    4. Event Planning Guide (annual)
    5. Annual Marketing & Sales Plan (annual)

 Experience, Competencies & Education

  1. Minimum four to six (4-6) years of project management experience, preferably in an agency or in-house creative environment, with a strong knowledge of commercial printing and publication processes;
  2. Account management experience, a plus;
  3. Four-year degree from an academic institution with emphasis on creative, communications or marketing;
  4. PMP or similar certification, a plus;
  5. Demonstrated ability to prioritize resources and tasks by creating and managing project plans with long- and short-term timelines;
  6. Excellent organizational skills and attention to detail;
  7. Strong relationship-building and communication skills (both written and verbal);
  8. Competency using project management tools and Adobe Creative Cloud;
  9. Destination marketing or hospitality industry experience, a plus.
